Job Description Job Description Responsibilities as the Office and Financial Systems Manager duties include but are not limited to: Administrative & Customer Service · Provide outstanding customer service in person and over the phone. · Prepare and process incoming customer information. · Handle all administrative tasks to ensure smooth office operations. · Prepare and digitally organize office paperwork and correspondence. · Maintain insurance policies, business licenses, vehicle service records, and DMV Motor Carrier Records. · Coordinate advertising schedules, website maintenance, and updates Accounting & Bookkeeping · Accounts Payable & Receivable. · Weekly payroll processing with workers’ compensation reporting. · Weekly 401k record keeping and reporting. · Sales tax record keeping, quarterly reporting, and filing. · Reconciliation of accounts and financial statement preparation. · Project job costing and reporting. Project Management · Prepare contracts and process paperwork for new projects. · Set up client files and input project information into the computer system. · Process permit forms, warranty registrations, insurance certificates, PG&E solar forms, and other project-related documentation. Human Resources · Assist with onboarding new hires. · Update and maintain office and safety policies in compliance with regulations. Operations Support · Schedule meetings and appointments. · Communicate and coordinate with vendors. · Ensure the office is clean, organized, and well-maintained. · Organizing IT support as required. · Managing vehicle maintenance schedules and appointments. ·Ability to Supervise staff and direct employees. Skills & Qualifications: · QuickBooks Experience: 5+ years (Required). · Microsoft Office Proficiency: Strong in Word and Excel. · Excellent time management and multitasking abilities. · Strong attention to detail and problem-solving skills. · Exceptional written and verbal communication skills. · Organizational and planning expertise in a fast-paced environment. · Leadership qualities: Take initiative, communicate effectively, and adapt to challenges with positivity. · Creative mindset with the ability to suggest improvements. Required Experience: · Bookkeeping: 5+ years. · Office Management: 5+ years. · QuickBooks Desktop: 5+ years. · Microsoft Office, Windows 365, Adobe · Education: Bachelor's degree (Preferred). Preferred Skills: · Previous experience in a construction office environment. · Experience with inventory tracking. · IT experience.
